Incentives Coordinator (GNJK Administrative Assistant Level II) PURPOSE:
The Incentives Coordinator is responsible for the coordination of all incentives processed through the Southern Region TA Center to ensure compliance of best practices related to the ordering and tracking of incentives.
RESPONSIBILITES:
1.
Ensuring all required documentation is submitted to support the ordering of incentives, and accompanies all requests for such orders.
2.
Placing orders with approved vendors.
3.
Tracking the ordering, shipping and receiving of orders between the vendors, early childhood education programs and the Specialists assigned to each program.
4.
Timely completion of all invoices associated with each incentive order placed and shipped.
5.
Timely submission of all invoices and back up documentation to Avanzar's Finance Department.
6.
Coordination between the South Region TA Center and the Finance Department related to best practices for processing of orders.
7.
Maintain ongoing communication with community partners to support the early childhood education programs are following best practices required for the processing of incentive orders.
8.
Develop professional relationships with educational vendors to support the effective processing of incentive orders.
9.
Maintain professional record keeping of all incentive orders.
10.
Develop and manage the necessary tracking documents to provide accessible accounting of the status of all incentive orders.
11.
Complete all necessary statistical reports as required by Avanzar as well as funding sources.
12.
All other duties assigned by supervision.
Qualifications:
The Incentives Coordinator must have a demonstrated history of organized record keeping and compliance with best practices associated with placing and tracking orders on behalf of third party recipients.
Additional qualifications include:
1.
Minimum of Associates Degree or 3 years of work history in tracking and managing supply orders.
2.
Experience in working with people from diverse racial, ethnic, and socioeconomic backgrounds.
3.
Demonstrated sensitivity to issues of social justice.
4.
Demonstrated ability to work in diverse teams.
5.
Ability to expand communication style to multiple cultural environments.
6.
Ability to speak a second language valued.
7.
Ability to network with other professionals within and outside the Agency on behalf of the client population.
8.
Willingness to utilize, share and/or develop technology skills.
9.
Excellent organizational skills.
10.
Excellent computer skills, specifically MS Word and Excel.
11.
Excellent communication skills.
12.
Ability to work well with a team, as well as complete work independently.
13.
Ability to develop positive, professional relationships within the team and with stakeholders 14.
Valid New Jersey driver's license and insurability through AVANZAR's insurance carrier.
This position includes remote and office based work as needed.
